We are committed to protecting the privacy of everyone who uses our website and services. This policy explains what personal information we collect, why we collect it, and how we look after it.

1. Who we are

The Matinee Club is the data controller for personal information collected through this website. You can contact us about anything in this policy at [email protected].

2. What we collect

• Information you give us through our forms: your name, your care home's name, your email address, and any message you send us (for example when requesting a free game, joining our newsletter, or contacting us).
• Membership information: if your care home joins The Matinee Club, we hold the details needed to run your membership, such as the home's name, contact details and billing records.
• Technical information: our hosting provider automatically records basic technical logs (such as IP address and browser type) to keep the website secure and working.

Our games run in the care home and work offline. They do not collect, store or transmit any information about residents. We never collect personal information about care home residents.

3. How we use your information

• To send you the free game you requested and follow up on how it went;
• To deliver your membership, including monthly game packs, unlock codes and our newsletter;
• To respond to enquiries you send us;
• To administer, secure and improve the website and our services.

4. Lawful bases

We rely on: consent (for the newsletter, which you can withdraw at any time using the unsubscribe link in any email); contract (to deliver a membership your care home has purchased or requested); and legitimate interests (to respond to enquiries, follow up free game requests, and keep the website secure).

5. Who we share it with

We do not sell or rent your information. We use a small number of trusted service providers to run the service, who process data on our behalf: our form provider (Formspree) which passes your form submissions to us, our website hosting provider (DigitalOcean), and our email platform for sending newsletters and game deliveries. Fonts on this website are loaded from Google Fonts, which may receive your IP address when the page loads.

6. How long we keep it

We keep enquiry and free-game details for up to 24 months from your last contact with us. Newsletter details are kept until you unsubscribe. Membership and billing records are kept for as long as your membership is active and for 6 years afterwards to meet accounting requirements.

7. Your rights

Under UK data protection law you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to our use of it, and to receive a copy in a portable format. 8. Children

This website is intended for care professionals and is not directed at children.
